This policy explains how Trade Used Cars Limited looks after your personal information when you use this website, send us an enquiry or ask for a valuation of your car. We have kept it as short and plain as we can. If anything is unclear, call us on 07950 371 333 and we will explain it.
1. Who is responsible for your information
Trade Used Cars Limited ("we", "us") is a used car dealership based in Ammanford, Wales. We are the "controller" of the personal information described in this policy, which means we decide how and why it is used.
Our contact details are in the "Who we are" box on this page. Please use them for anything to do with your personal information.
2. What information we collect
We collect only what we need. Depending on how you use the website, that can include:
- When you send us a message (from the Contact page, or from an "Ask about this part" button): your name, email address, telephone number and your message, including anything you tell us about a car or a part.
- When you ask for a valuation: your car's registration number, mileage, make, model and year if you give them, its condition and service history, anything you add in the notes, and your name, email address and telephone number.
- When you visit the website: technical information sent by your browser and recorded by our hosting and security provider, such as your IP address, browser and device type, the pages you ask for, and the date and time.
- When you phone or visit us: your name, your number and details of what you ask about, if we make a note of them.
A vehicle registration number can be linked to the person who keeps the car, so we treat it as personal information.
We do not ask for payment card details, or for sensitive information such as health or ethnic origin, through this website. Please do not include any in your messages.
3. How we use your information and why
We use your information only for the reasons below. Data protection law requires us to have a "lawful basis" for each one.
- To reply to your message, and to arrange a viewing, a test drive or a part: this is necessary to take the steps you ask for, and it is in our legitimate interests to answer people who contact us.
- To value your car and make you an offer to buy it or take it in part exchange: this is necessary to take steps at your request before entering into a contract.
- To keep the website working and secure, and to protect it from abuse: this is in our legitimate interests.
- To keep records that the law requires us to keep, for example sales and accounting records: this is a legal obligation.
We do not sell your information. We will not add you to a marketing list, or send you marketing emails or texts, unless you have clearly asked us to.
We do not make decisions about you by automated means. A person looks at every valuation request and every enquiry.
4. Cookies and similar technologies
This website does not use analytics, advertising or tracking cookies, and our public pages do not place cookies on your device. Our network provider, Cloudflare, may in some circumstances set a strictly necessary security cookie to protect the website from abuse.
Members of our team who sign in to manage the website use a sign-in cookie, which is essential for that purpose.
If we add anything in future that needs your consent, such as analytics, we will ask you first and update this policy.
5. Who we share your information with
We share your information only where we need to, and only with:
- Service providers who work on our behalf. We use Cloudflare to host the website, store enquiries and valuation requests, store images, and keep the website secure and fast. Cloudflare may process your information only on our instructions.
- Google. To show the website in our chosen typeface, your browser downloads font files from Google Fonts, so Google receives your IP address and browser details when a page loads.
- Image hosting services. Some photographs on the website may load from third-party image services, such as Wikimedia and Unsplash. These services receive your IP address when your browser fetches an image.
- Vehicle check providers. If you ask for a valuation, we may use your car's registration number to run vehicle history and market checks with industry providers.
- Our professional advisers, and the authorities, where the law requires or allows it, for example to prevent or detect crime.
If the business is ever sold or reorganised, your information may be passed to the new owner, who must use it as described in this policy.
6. Transfers outside the UK
Some of the providers above are global companies, and your information may be processed outside the UK. Where that happens, we make sure it is protected by the safeguards that UK data protection law requires, such as an adequacy decision or approved standard contract terms.
7. How long we keep your information
We keep information only for as long as we need it:
- Messages and valuation requests that do not lead to a sale or purchase: up to 12 months after our last contact with you, and then we delete them.
- Sales and purchase records: for as long as the law requires, which is normally six years.
- Website security and server records: for a short period set by our hosting provider, usually no more than a few weeks.
If you ask us to delete your information sooner, we will do so unless the law requires us to keep it.
8. How we keep it secure
The website uses an encrypted (HTTPS) connection. Enquiries and valuation requests are stored with a reputable hosting provider and can be read only by authorised members of our team who sign in with a password.
No system is completely secure, so please do not send us more information than you need to. If we ever have a data breach that puts your rights at risk, we will tell you and the Information Commissioner's Office, as the law requires.
9. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it;
- object to us using it where we rely on legitimate interests;
- ask for the information you gave us in a portable format;
- withdraw your consent at any time, where we rely on it.
To use any of these rights, contact us using the details in the "Who we are" box. We will normally reply within one month, and we do not charge a fee. We may need to check your identity first.
10. Complaints
We would like the chance to put things right, so please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
11. Children
This website is for adults and is not aimed at children. We do not knowingly collect information about anyone under 18. If you think a child has given us information, please contact us and we will delete it.
12. Changes to this policy
We may update this policy from time to time. The date at the top of the page shows when it last changed. If we make a significant change, we will make that clear on the website.
13. Contact us
If you have any question about this policy or how we use your information, call us on 07950 371 333, send a message through the Contact page, or use the details in the "Who we are" box.
